Email signature

We have produced an email signature that incorporates the Sunday Times University of the Year logo. The HTML signature can be downloaded and installed as follows:

How to add the HTML email signature in Outlook 2003 and 2007

  • Click on the link: www.exeter.ac.uk/codebox/email-sig/generic. Specific signatures have also been created for Medical School and Business School staff. The generic signature has social media links pointing to the main University accounts. If you need the links on these icons to go instead to specific Facebook, Twitter, etc, accounts for your department or service then you need to use the alternative signature without socail media hyperlinks at www.exeter.ac.uk/codebox/email-sig/generic-nosociallinks. This is because, unfortunately, even though you can edit hyperlinks in the signature editor, and they will appear to have been saved in the signature window, in Outlook 2007 and 2010 the amended links do not change when your HTML signature appears in new email messages. However, if you Add a link to images in the signature window, rather than Edit an existing one, the appropriate changes will display in your emails.
  • Highlight all the text including images and either go to 'Edit' > 'Copy' in the menu bar, or right-click and click 'Copy' in the popup menu.
  • In Outlook select 'Tools' from the menu bar.
  • Then select 'Options'.
  • Click on the 'Mail format' tab and ensure first that the Message format is set to HTML, as this is an HTML email signature so it will not work with Rich Text or Plain Text formats. If you have to change it to HTML, then click ‘Apply’ at the bottom of the window.
  • Click on the 'Signatures' button.
  • Select the signature you want to edit.
  • Delete the existing Signature content and right-click and ‘Paste’, or press CTRL + V on your keyboard. You should now see your new sign-off in the signatures field.
  • Edit all necessarily information such as: name, job title, phone number and address.
  • If you need to add links on the social media icons you can do so in the email signature editor:
    • In Outlook 2007Select the individual icon, click on the Hyperlink image in the toolbar and edit the link address.
    • In Outlook 2003Right-click on the inserted image and choose 'Edit Hyperlink'. 
  • Then just Apply/Save.
  • Send an email to yourself to test the signature is displaying as shown on web page.

How to add the HTML email signature in Outlook Web Access (OWA)

  • Click on the link: www.exeter.ac.uk/codebox/email-sig/generic. Specific signatures have been created for Medical School and Business School staff.
  • Highlight all the text including images and go to 'Edit' > 'Copy' in the menu bar, or right-click and click 'Copy' in the popup menu.
  • Click ‘Options’ at the right hand top of the OWA window, underneath your name, and select ‘See All Options’.
  • Click on ‘Settings’ in the left hand column.
  • In the ‘Email signature’ editor, delete any existing signature, and paste your new one into the editor window.
  • Edit all necessary information such as: name, job title, phone number and address.
  • The four social media icons link by default to the main University of Exeter accounts. If you need to change any of the links on these icons to a specific Facebook, Twitter, etc, account for your department or service then you can do so in the email signature editor (requires OWA to be open in Internet Explorer only). This works in OWA so you will not need the version of the signature without social media account links:
    • Right-click on the icon you want to edit the link for and click the Hyperlink icon button in the toolbar.
    • Edit the URL in the Hyperlink popup window and click OK.
  • Tick the box underneath the editor next to ‘Automatically include my signature on messages I send’.
  • Click ‘Save’ at the bottom right hand of the window.
  • Send an email to yourself to test the signature is displaying as shown on web page.
