APTOS

Aptos is the University’s main financial system. It is used for placing orders, making payments and raising sales invoices. All transactions have to be given a code and recorded on one of the general ledgers, see the coding structures below for full details.  To obtain access to Aptos you need to complete a registration form, which is available from Academic Services.

Aptos has a number of different reporting tools: EAS2, CSR and MID3 which can be accessed by logging on to the Aptos Web Service.

If you are having any technical issues with any of the reports then please contact the IT helpdesk or please contact Dan Isaac with any queries or feedback on the content of any of the reports.

Reporting

Throughout 2009/10 the EAS and Eureka reporting tools were phased out and replaced by the following:

EAS2

EAS2 is an update on the original EAS tool and allows you to extract data directly from Aptos into an Excel spreadsheet. Installation instructions for EAS2 can be found on the installation notes pages of the Aptos website. Guidance and information on the reports are below:

Client Side Reporting (CSR)

CSR is a web-based reporting tool which provides a quick and user-friendly way to run pre-formatted reports which can then be exported into a number of formats including PDF, Excel and RTF. Guidance and information on the reports are below:

MID3

MID3 is a dynamic reporting tool that allows a pivot style analysis of data from within Aptos. Guidance and information are below:

Coding Structure

 

New ledgers

As a result of the Aptos General Ledger Recoding project a new coding structure was implemented in Aptos from 1st August 2009. This restructuring replaced the old 'GL' ledger with 4 new ledgers, the Main Ledger (GM), the Research Ledger (GR), the Trading Ledger (GT) and the PCMD Ledger (GP). The code structure of the GM, GR and GT ledgers is detailed below:

Subjective and activity codes

Within this coding structure the subjective and activity codes used are common across the University. The list of subjective and activity codes is detailed below:

  • Code list: subjective (SUBJ1) including information on the SUBALT groupings of SUBJ1 codes
  • Code list: subjective analysis (SUBJ2)
  • Code list: activity (ACT1) & activity analysis (ACT2)
