Many thanks for your interest in assisting at Graduation. We rely on the help of our volunteers to ensure the smooth running of our ceremonies, and so your assistance is greatly appreciated. Please see below for information regarding volunteering at the ceremonies. 

Ceremony Timings

We ask that all volunteers arrive 45 min before the start time of a Ceremony, this is included on the timing shown on volunteer registration, this is to allow for plenty of time to get your robes, answer any questions and have a short briefing at before the doors open.
We open the doors and start letting Graduands and guests in 30 min before the Ceremony start time.

We also ask that all volunteers stay 15 min after the Ceremony finish, this is to help us reset for the next Ceremony.

Volunteer Briefing

 

We hold 3 in person Volunteer briefings in the run up to Graduation, these are so that we can run through all of the key elements of the Graduation Ceremony and give a little tour of all of the important locations around the Forum.

We also have a little Q&A at the end of the this briefing.

Invitations to all 3 briefings will be sent out to all volunteers.

Please have a read of the differnt role descriptions below

Ramp on:

This role is based at the top of the first section of ramp. You are there to check the student crosses the stage when their name is called. You will ask the student to confirm their name and when it is read out, you allow them to cross the stage.

Row Marshal:
This role is based at the left side of the hall. You will be getting the students to stand and start their journey to the stage, and it is also your job to manage the flow of students queuing. You will also be signalling to the Middle Aisle marshals as to when they should stand their section of students.

Name Check Marshal 1:
You will be based on the left side of the hall, near the repeater screen. Check the students name as they pass you, this is to make sure that all students have stayed in the correct order - you can either show them their name from the script, ask them their name or say their name to them.  Your main duty is to ask them to confirm their name. If you have time, it is also nice to check that students' robes and mortarboard are worn correctly.

Name Check Marshal 2:
You will be based on the left side of the hall, at the bottom of the ramp. You check the students name as they pass you, this is the make sure that all the students have stayed in the correct order. Ask them to confirm their name - you can either show them their name from the script, ask them their name or say their name to them. You will also be ensuring that no more than 5 students are on the section of ramp between you and the ramp on marshal. If you have time, it is also nice to check that students' robes and mortarboard are on correctly.

Middle Aisle Marshal:
You are based in one of the 2 middle aisles. You will be getting the students in your section to stand when instructed to do so by the Row Marshal. When the students have emptied from your section of the row, go along and check if there are any obstructions along the now empty section as there will be more students coming along it shortly. It is important to keep an eye on the row marshal to the left of the hall, and only stand students when given the signal to do so. It is also important to face yourself towards the stage and not have your back to the stage.

Ramp Off Marshal:
You are based on the right side of the hall, near the end of the ramp. You are the first person that the student sees after they have graduated, so it is important to give them a nice smile and clap for them. You will then gesture for them to go back along the right side of the hall towards the Row Return Marshal.

Row Return Marshal:
You are based on the right side of the hall. You will be directing the students to go back into the aisle that they originally came out of - be sure to stand at the entrance of the aisle that has just been emptied and ensure that students go back into the correct aisle unless they have a reason not to.



Graduand Support:
You are based in the main reception. You will be asking the Graduands to have their ticket up on their phone, they will have been emailed their tickets around a week before Graduation in an email titled “ Your Graduation E-ticket(s) and further information”, and then directing them to use either door 1, for seat number 1 to13 or door 2, for seat number 14 to 40. If a student has their ticket but cant see the seat and row then look at the bottom left of the students' ticket for their seat number, the aisle is irrelevant at this point. If the Student cant find the ticket at all then use your Alpha list on your clipboard to find out what seat they are in and inform them of this, if the student is not on your Alpha list then find one of the Graduation team and they will deal with this issue.

Seat Checker:
To start with you will be based at the door at the back of the hall. You will be directing the students to their seats - there are 3 sections of seating; section 1, seats 1-13, section 2, seats 14-27, and section 3, seats 28-40. You are also there in case any students have questions or require assistance. When most of the students are in the hall you will be given the go-ahead by the Graduation team to for seat checking to begin. Using your seat list, go along a row section and check that the students are sat in the correct seat. When a section of a row has been checked, place a piece of red card at both ends. It is often good to work as a pair, each starting from different ends of the section and working towards the middle. When all the seat checking is done, the Graduation team will ask you to collect the red cards from the aisles.

Main Hall Door Marshal:
You will be based at the main doors at the front of the Great Hall. You will be checking that all guests have tickets - Foyer support will have asked all guests to have their tickets ready.
Please be sure to check whether their ticket says, “Main Hall” or “Balcony” in the bottom left corner of the ticket and direct them accordingly. Please ensure that the number of tickets matches the total number of guests in the group.
When all guests are in the hall and the ceremony is starting, keep the doors open but stop any guests coming up the stairs until after the procession has gone up to the stage. You can then let any remaining guests into the hall and carefully close the door. You will need to open and carefully close the door for any guests coming in or leaving the hall during the ceremony. At the end of the ceremony, you will need to open the doors before the Procession leaves the stage and stop any guests from exiting until after the procession has gone through.

Foyer Support:
You will be based in the Great Hall foyer, outside the Sanctuary. You will be there to direct the guests up the 2 sets of stairs (either side of Blackwells books) to the Great Hall. Please ask all guests to have their tickets showing on their phone ready for entrance to the Hall, you do not need to check the tickets, this will be done as they enter the Great Hall. It is useful to ask guests to keep close to the wall of the stairwell if they are going into the main hall or stick to the centre if they are going up to the balcony, this means that we have 2 separate queues going at the same time. Please can you also direct all students up to the Graduand entrance or to gowning if they do not yet have their gowns.

Balcony Door Marshal:
You will be based on the balcony doors. You will need to check that every guest has a ticket and that it says “Balcony”. At the Ceremony start, it is important that you do not let any guests down the stairs when the procession is making is way to the stage. During the ceremony, you will need to carefully open and close the doors for any guests wishing to leave or come back up. At the end of the ceremony, it is important that you do not let any guests leave until after the procession has left the hall.
