In order to graduate, you must...

Registration for winter graduation 2018

Graduation registration will open at 2pm 24 September  2018. You will be sent an email asking you to complete registration. Registration will close on 28 October 2018. Failure to register by this date will result in you NOT attend the ceremony and your award documents will be posted to your home address. Please be sure to provide details of your own or guest special seating requirements as part of your registration. 

Students are required to request up to 2 complimentary tickets as part of their registration process. Extra guest tickets may be available for sale through the online store from 5 November 2018. Further information can be found here

If you have an academic related debt to the University you will be prevented from graduating. All outstanding balances must be cleared by 2 November 2018. You can make a payment online through the epay system. Alternatively, contact SID on 0300 555 0444 (UK callers) or +44 (0)1392 724724 (International callers).

All those who have completed a Bachelor's, Master's or Doctorate are eligible to attend the graduation ceremony.

Undergraduate Students and Postgraduate Taught Students: You must have been confirmed to be awarded for a degree by the University Assessment, Progression and Award Committee in order to be eligible to attend the ceremony. Please check with your college once your results have been released if you are unsure if you are eligible to attend the ceremony.

Research Students: Your final thesis and completed examiners report must be submitted by the 5 November 2018. Those who submit the final thesis after this date will be invited to attend the summer ceremony in 2019.

Outstanding Debts: If you have an academic-related debt to the University you will be prevented from graduating. All outstanding balances must be cleared by 2 November 2018. Please be aware that all graduands must wear full academic dress in order to graduate (gown, hood and cap). You can hire or buy your academic robes from Graduation Attire online at: www.exetergraduation.co.uk 

You can order your robes online from 24 September 2018. The deadline for ordering robes is 16 November 2018.

Please have the following details ready:

• Your Name, Date of Birth and student number
• Your height (from head to floor)

• Your head circumference (measure 1inch above your eyebrows)

• Your payment card

Please note: We have been notified of at least one company falsely claiming to offer a gowning service for the University of Exeter's graduation ceremonies. Please be aware that Graduation Attire are our sole suppliers of academic dress for these events. Graduands are unable to purchase or hire gowns from other suppliers. Those not in correct academic dress will not be permitted to cross the stage.

Further information

As well as full academic dress, all graduands are required to wear smart clothes on the day of the ceremony. We kindly request that you do not wear jeans or trainers. 

Please wear appropriate footwear for walking up and down the stage steps.

Additional extras

Graduands will request up to 2 complimentary tickets as part of their graduation registration online. If capacity of the venue allows extra guest tickets can be purchased through the online store from 5 November 2018 at a charge of £15 each. An email advising when tickets are available to purchase will be sent containing a link to the online store. Tickets can only be purchased through the link that will be sent to graduands.

Please note that that extra tickets will only be made available if capacity allows. 

Due to limited capacity the number of extra tickets that can be purchased may be restricted.

Tickets will be available until 25 November 2018 or when tickets are sold out (whichever comes first).

Please be advised that tickets are non transferable. Purchased tickets that are no longer required can be refunded until 30 November 2018. Please contact the SID desk to advise of unwanted tickets.

Guests without tickets 

Exeter

If there are any available tickets on the day for ceremonies taking place in Exeter, they will be sold at the SID desk in the Forum. Additional tickets are £15.00 each.

Guests who cannot purchase or do not have tickets for the ceremony can watch the event live via web streaming at the following venues:

Tempest Photography is the official photographer for the University of Exeter graduation ceremonies.

They will be operating multiple studios on graduation day.  These will be open from the time gowns are given out in the morning until an hour after the last ceremony. You can visit them before or after your ceremony and at any time during the day.

You do not order in advance of the ceremonies - instant proofs will be given to you in the studio when your photographs are taken, enabling you to select your favourites and to place your order either at the sales desk or afterwards via the website or by post / telephone.  All packs ordered on the day will receive free wallet and mini prints with your order.

Presentation and Group Photographs

Tempest Photography will also be on hand to capture the moment you cross the stage and are awarded your degree.  These images will be available to view immediately after your ceremony and prints can be purchased to take away on the day.

Alternatively visit www.tempest-events.co.uk, allowing 7 days after your event to order your Presentation Photograph.

Tempest will also be taking group photographs after each ceremony. These photographs will be available to view and order in the same area as the on-stage photographs.

A graduation reception for each ceremony will be held in the Forum Street immediately after each ceremony. This is a chance to celebrate with live music and complimentary refreshments.

The reception is available for graduands attending the preceeding ceremony and their invited guests. 

Please be aware that dogs (except guide dogs) are not permitted into the reception or the ceremony.

The Forum Market Place shop will be open during the Friday and Saturday of Winter Graduation, selling snacks, hot and cold drinks, pastries, grab 'n' go lunches and a wide range of other groceries and convenience items.

Within the beautiful Italianate mansion Reed Hall, the Woodbridge Restaurant and Café Reed are open on a daily basis (weekdays only) and offer a unique dining experience in the heart of Exeter. Campus Clothing offers a wide range of graduation merchandising, including ‘Class Of 2018’ Hoodies and T-shirts with the names of you and your classmates, along with a host of other items.

Please note that your name will appear on the clothing unless you have indicated you do not wish the University to use your name on graduation memorabilia (you will be asked during the graduation registration process).

Further information

If you would like your friends or family to attend your graduation or just to visit you in the UK, they may need to apply for Visitor visas. You will need to send them documentation confirming your current study and immigration status and there are a number of documents that they will need to prepare. You can print your graduation invite letter by logging into your student record and choosing the option of 'self service letters' or you can request a letter from us at the SID desk.

If you or any of your guests have any accessibility requirements such as special seating arrangements at the ceremony or a disabled parking space, please provide details when completing the online registration task outlined in your invitation email. 

If you did not request a disabled parking space as part of your registration, please email sid@exeter.ac.uk to request one.

Award documentation can only be issued after the official date of award. Before this date you can obtain an interim transcript from SID or via the 'Your results' page in the Student Record System, accessible through iExeter.

Award documents (subject to successful completion) will be issued at the graduation ceremony. 

Should you require award documents before this you are required to purchase extra copies, details of which are found in the section below.

If you have advised you are not attending the ceremony your documents will be posted to your HOME ADDRESS on 19 November 2018. You must ensure your home address in the Student Record system is correct before 7 November 2018.

By default documents are sent via standard royal mail postal service – please note this does not offer tracking

If your documents are to be posted to an address outside the UK we strongly advise that you order DHL courier delivery at an additional cost to ensure safe receipt of your documents. All DHL orders must be placed before 7 November 2018. Orders received after this date will be refunded and documents will be sent by standard non tracked mail.

Should you require any additional free award confirmation letter(s) prior to this they can be printed through the iExeter student record system or requested directly from the SID Desk:

Additional copies of your transcript and certificate

Additional copies of your transcript and certificate can be requested once you have been awarded via the online store. Please note that any extra documents ordered will be sent via separate mail and will not be included with those issued at your graduation ceremony.

 

Changing your ceremony

Under normal circumstances due to large numbers of guests and students attending our ceremonies we are unable to accommodate requests to attend graduation at a different time of the year.
If you are doing a combined subject degree and wish to graduate with your other subject please contact sid@exeter.ac.uk, where requests will be considered on a case-by-case basis.

For any changes to your ceremony date due to exceptional circumstances, these will need to be considered by the graduation team on a case-by-case basis. Please email sid@exeter.ac.uk.

Award documentation

If you have not registered your attendance, or you have advised that you will not be attending your award documents will be posted to your Home address on 19 November 2018

You must ensure your home address in the Student Record system is correct before 7 November 2018.

If your documents have not been received within 21 working days of being sent and you have ensured the delivery address was correct we can arrange for a free replacement.

Failure to update/confirm your home address will require you to order replacement documents at a charge. Replacement documents can be ordered via the online store.
