Induction facilitator guide

How Induction Facilitators support the Induction process

The new member if staff will be supported during the induction process. This may involve their line manager and other staff within the University.  The Induction Facilitator will assist and support the new member of staff with any questions they may have during this time.

The following outlines what will happen over the two weeks of induction:
Pre-arrival
Day one
Week one
Week two
Week three and beyond

Pre-arrival

Induction Facilitator informed by College/Service of name and start date of new member of staff.

Request an IT induction for the new starter, approximately 2 weeks before the new member of staff is due to start.

Day one

Induction Facilitator meets new member of staff and explains

  • their role as an Induction Facilitator
  • how to make contact with the Induction Facilitator during the induction process
  • the induction process - induction timetable, information guide and evaluation of induction
  • activate the new starters IT account

The new member of staff will start working through day one section of the induction timetable. This may involve their line manager and other staff within the University. The Induction Facilitator will assist and support new member of staff with any questions they may have.

Offline

You will provide a hard copy of the induction timetable to the new member of staff. They will then work through and check off the items on the induction timetable. They may ask you for more information. Links have been provided where possible and if these exist, then you will either demonstrate i.e. provide online access to this information or provide a hardcopy of the information.

Online

A hardcopy of the induction timetable will assist the new member of staff in the first instances that they may check off items as completed. The new member of staff will be able to use a computer to browse through any links to obtain more information.

Week one

The new member of staff will be expected to work through the week one section of the induction timetable. This may involve their line manager and other staff within the University.Typically, you would meet them briefly at the end of the week to check if they have any questions regarding the items in the week one section. You will be contactable at other times in the week.

You may need to provide online assistance to access information or hardcopy of information.

Online

The new member of staff will use a computer where appropriate for week one items.

Week two

The new member of staff will work through the week two section of the induction timetable. This may involve their line manager and other staff within the University. The Induction Facilitator will assist and support new member of staff with any questions they may have.

At the end of week two, the Induction Facilitator will have a final meeting with the new member of staff, discuss any outstanding questions, check the induction timetable has been completed and then explain that the induction process will be completed once they have submitted their evaluation of induction which will be undertaken after the meeting. Advise of deadline date for submission equal to 3 weeks from start date.

Offline

You may need to provide online assistance to access information or hardcopy of information. You will provide a hardcopy of the evaluation of induction form and an addressed envelope.

Online

The new member of staff will use a computer where appropriate for week two items. You will need to check they know the online web link in order to complete the evaluation form.

Week three and beyond

The University induction process has been completed. Local induction will continue as defined by your College/Service.

Typically induction to role will be dealt with by their manager. Other colleagues may also be involved with other areas of local induction.
