In-Tend e-Sourcing Management System

 Project dates  July 2009 - October 2010
Project Manager  Dick Leitch ( Ext: 5397
 Project Status  Completed

Project aims and objectives

It is proposed to implement this eSourcing Management System which is managed by In-Tend as a hosted, web-based service. The service consists of three modules:

  • eTendering
  • Contract Management
  • Active Bidding (eAuctions)

The implementation of In-Tend will enable Schools and Services to manage tenders and requests for quotations (RFQs) electronically. This will greatly assist in controlling the tendering process which is currently carried out using various systems. In-Tend will free up considerable time so that each department can spend more time managing other work and priorities.

Latest news

Project initiation was carried out on 22nd July and training on the eTendering module completed on 10th/11th August. In-Tend have completed the "branding" of a live and a test system. Standard documentation (supplier questionnaires, RFQ and Tender templates etc) are being updated and loaded and systems parameters have been agreed and entered. Testing has been carried out on several "real" tenders before these have then been processed on the live system. The benefits of the system are already being seen - when it was thought that only 3 or 4 suppliers might be capable of providing the VLE system to replace WebCT, 21 expressions of interest have been received. Several further tenders, from a simple service tender (graduation photography) to a large complex EU tender are being prepared for processed through the live system. Training on the next module, Contract Management, takes place on 9th November, following which loading of contract records and documentation (initially on the test system) will commence.
