Notifying the University of a death

The death of a loved one is a difficult experience and making sure that you have notified all the necessary people can be daunting.  On behalf of everyone at the University of Exeter, please accept our sincere condolences at this time.

To give you guidance on how to notify the University of a member of staff who has died please see the details below.

You may prefer to contact the staff members colleagues or manager and you can do that directly.  However, if not, then please contact Human Resources.

You will be asked to provide the following:

  • Full name of the employee, their date of birth and home address
  • The job they did at the University
  • The date of their death
  • Your relationship to the member of staff and your personal contact details
  • Involvement, if known, of any solicitors or legal representatives and their details.

What happens next

The information will help us to advise colleagues at the University and will enable the University to identify which teams or people at the University need to know about the deceased member of staff.  It will enable the University to take all the necessary steps to complete the actions that are needed with regards to pay, personal items, letting other colleagues know and any IT matters.

The person who you have advised us is the main contact will be contacted by the University directly to discuss the next steps the University will make. For more information, please see the Death in service guidance.

Members of staff and their families are able to access confidential counselling which is provided by Spectrum Life. Counselling is designed to offer independent, non-judgemental listening support in times of difficulty.  The service is available 24 hours a day, 7 days a week, 365 days a year.
