Information about Trent HR system

In April 2008, most University staff were transferred to Midland Trent HR, the University's new HR and payroll system. Individuals paid on a claims basis (both weekly and monthly) were transferred to the new system in August 2008.

With effect from April 2008 the design and layout of your payslip was changed. In response to concerns about potential identity fraud, from May 2008 only the final digits of each employees' bank account number and sort code are displayed on the payslip.

Links between Trent HR System and other University databases

Certain information is automatically transferred from the Trent HR System to other databases:

  • the University card system, to enable a card to be issued to members of staff;
  • user registration for IT Services
  • the Library system, to replace the need for staff library users to give their details to the Library. The information being transferred includes home address for external mailing;
  • the SITS student records database to enable students to be linked to course tutors
  • Sports Card database, to enable the Sports Office issue staff membership

HESA

The University is required to send anonymised information, in coded form, about its staff to the Higher Education Statistics Agency (HESA) on an annual basis. HESA uses this information for statistical analysis and supplies the data to other statutory bodies and to other users (eg academic researchers and unions). Your name and contact details are not disclosed to HESA and precautions are taken to minimise the risk of identification of individuals from the published and released data. Data about you will not be used by HESA or its customers in a way that would affect you individually.
