In Order to Complete a Certificate of Sponsorship

Paperwork from the College/Service

If a non EU/EEA individual is appointed, it is important to return the following information, which is sent to the interview panel Chair by the Recruitment Administrator at the beginning of the recruitment process (in an Excel workbook), to Human Resources as quickly as possible in order to prevent a delay in obtaining the necessary immigration clearance:

  • Reasons for rejection of non-shortlisted applicants form (PD63)
  • Interview information form (PD62)
  • Interview analysis form (PD61)
  • Appointment details form: for Lecturers (E&R) (PD02a) or for all other appointments (PD02)
  • If you have completed the recruitment process within your College/Service, copies of all application forms and CVs submitted for the post.

This paperwork maybe inspected by UKBA to ensure that the RLMT has been met, if appropriate.

The College/Service must pay the cost of the CoS, currently £175. The CoS will either match the length of the contract, or can be issued up to a maximum of 3 years (whichever timeframe is less). This can be extended for up to a further 3 years, at which time the individual may be able to apply for settlement if eligible.

Paperwork from the Individual

In addition to this paperwork required from the College/Service, Human Resources will contact the individual regarding the necessary documentation required from them (once the recruitment/appointment paperwork has been received);

  • their passport (if they are sending certified copies1 we need: the main passport page; any current UK visas and the front cover) and
  • their academic or professional qualifications (eg diplomas, PhD certificates, etc.)  We can also accept original transcripts, subject to them clearly showing the degree awarded and the date of completion. If these are in a language other than English they must be accompanied by a certified translation. The translator's credentials should be provided, along with their official confirmation that the translation is accurate.

 
Your prospective staff member will also need to check that they meet the points requirement for a visa. The UKBA points-based calculator will allow them to calculate how many points they will score. This should be done before we apply for a CoS for them.


1A certified copy is one that includes a signed statement, either by the issuing authority or by a solicitor or notary, confirming that it is an accurate copy of the original document. In the UK the Post Office offers a certifying service.  Appointees should not send their original documents to Human Resources in the post.
