Car sharing  

The University offers a suite of car sharing incentives which will save you money on your University parking permit, make finding a car parking space easier and fund a return journey home should your lift fail in the event of an emergency.

The University of Exeter car share scheme is open to employees who are entitled to a Standard Parking Permit and who are registered users of the University's private car sharing group. To sign up, visit the University of Exeter Liftshare website.

Car Share Permits

Those eligible for a standard car parking permit are eligible to apply for a free car share permit. To apply, you must first register on the University's car share scheme website, then create a Liftshare Team with one or more eligible car share scheme members. You must then complete a car share permit application - for which you will need to provide your Liftshare Team ID which can be found on the Liftshare Teams tab of your Liftshare account webpages.

One permit will be issued per team with each team member being issued a parking permit holder.  Each permit will have up to 4 registration numbers. Drivers will be required to exchange previously held annual permits at the time of issue of a car share permit.

On days where the team does not share (i.e. holidays, sickness, etc), the lowest rate pay and display fee will apply when used with an Authority to Park badge.

Car Share 2+ Parking

Car share permit holders are entitled to park in the 2+ car share spaces. On days where the team does not share (i.e. holidays, sickness, etc), non-car sharing spaces must be used.

The 2+ car sharing spaces (denoted by blue 2+ markings in the parking bay) are available at locations across both the Streatham and St Luke's Campus. See the full list of 2+ parking locations.

All spaces will revert to standard parking after 9.30am and at weekends.

Emergency Travel Home Scheme

The Emergency Travel Home (ETH) Scheme will fund/part fund University formal car sharing teams a return journey home should their lift fail in the event of an emergency or unforeseen problem.

This applies to University staff car sharers only.  Applicants must be the passenger, as the ETH Scheme assumes that the driver will drive or make his/her own arrangements.  The applicant will be retrospectively reimbursed the cost of their travel.

Car sharing terms and conditions

  1. The University of Exeter Car Sharing Scheme is open to all staff and students currently entitled to a Standard Parking Permit who are registered users of the University private car sharing group and part of a Budi Team. Details of how to create a Budi Team can be found on the Car Sharing FAQs page.
  2. A Budi Team must have at least two University-based car driving members who car share on at least three days per week. Each group must have a designated lead driver responsible for applying for a Car Share Permit. Members of the group who are drivers should also apply for an Authority to Park Permit to enable them to pay the lowest pay and display fee when not car sharing.
  3. If the number of members in the Budi Team permanently becomes less than two, the teams eligibility for a Car Share Permit will cease and the Permit will be withdrawn. In such a case, an application for a Standard or Authority to Park Permit should be made.
  4. A maximum of one Car Share Permit will be issued to each Budi Team. Each group must have a designated lead driver who is responsible for informing the Car Parking Office, in writing, of any chance to the Budi Team membership. Where the designated lead driver ceases to be a member of the Budi Team, a new lead driver should be elected and the Campus Services Helpdesk informed of this change.  
  5. On days when a vehicle is not being used for car sharing, the Authority to Park pay and display fee will apply.
  6. Drivers will be required to exchange previously held Standard Parking Permits at the time of issue of a Car Share Permit. The designated lead driver will coordinate this.
  7. Car Share Permits will only be issued to those who car share on a regular basis. Ad hoc arrangements, such as attendance at conferences, meetings and home visits etc. will not entitle drivers to a Car Share Permit.
  8. Where a member of staff joints the Car Share Scheme, payments deducted from salary under existing salary exchange arrangements will cease on issue of the Car Share Permit.
  9. Permits will last for a period of 12 months, expiring in September each year, after which, they may be renewed on application to the Campus Services Helpdesk.

Emergency Travel Home Scheme

The Emergency Travel Home Scheme will fund/part-fund formal Budi Teams (staff only) a return journey home should their lift fail in the event of an emergency or unforeseen problem.

Applicants must be the passenger, as the Scheme assumes that the driver will make their own arrangements.

The Scheme works by retrospectively reimbursing the costs incurred by an employee’s return journey home via an alternative mode of travel. The individual Budi Team member is responsible for arranging their own return journey, with reference to section 3 below.

Process

  • Select your mode of travel and make your OWN travel arrangements;
  • Complete the Emergency Travel Home Claim Form
  • Get the claims form certified by a line manager OR Budi Team driver (as appropriate, see section 4 below for details);
  • Send the form to the Sustainability team for review and approval (a cost code will be provided at this stage);
  • Once your claims form has been returned to you fully approved, submit an online expense claim – details of how to register can be found on the Finance website.

When submitting the online claim proceed as follows:

  1. Select 'General Administration' from the 'Reason' drop down list;
  2. Select 'Travel' in the 'Expense Category';
  3. Select the appropriate 'Expense Item';
  4. Type Car Share - Emergency Travel Home Scheme in the 'Narrative' section;
  5. Follow the standard procedure in your College/Service for submitting the original travel receipts, including the completed ETH claims form;
  6. You will be reimbursed in the standard way for expense claims via a BACS payment.

Emergency Travel Home Travel Mode

The University will only reimburse the cost of a taxi if it is proven that public transport was not an option for travel.

Please note, a combination of options will be considered i.e train/bus followed by a taxi.  No other modes of travel will be considered.

The Emergency Travel Home Scheme has a limited annual budget and is provided to reassure car sharers of a return journey home that will not incur any unnecessary excessive costs to that employee.  Applications will be assessed and monitored to ensure no misuse of the Scheme.

Eligibility

To be eligible for the Scheme, employees of the University must be formally registered members of University of Exeter Car Sharing Scheme (with a confirmed Budi Team) and have been issued with a Car Share Permit by the Car Parking Office:

Circumstances in which passenger sharers may not use the Scheme include the following:

  • Previously scheduled medical appointments;
  • Personal errands;
  • Working late;
  • Business appointments/journeys;
  • Early office closure, for example during or in anticipation of, extreme weather conditions, or a building evacuation;
  • Holiday (including bank holidays and University Closure days) or long term sickness.

Terms and Conditions

  • Budi Teams are only eligible to apply for two reimbursements per academic year. Additional requests may be made, but offer no guarantee of being granted.
  • Employees are responsible for making their own arrangements for their return journey home.
  • Reimbursement will be in the form of a BACS payment issued to the employee.
  • The University reserves the right to refuse an application for an Emergency Travel Home reimbursement.
  • The University reserves the right to alter/withdraw the Emergency Travel Home Scheme at any time.
  • The University will not reimburse your travel costs into work should your ride fail.
