Frequently asked questions
How/ where do I renew my staff card?
You will need to come to the main reception in Northcote House to have your card renewed, or email us at universityreception@exeter.ac.uk and we will let you know when your card is ready to collect.
Will my new card be sent to me automatically when my card expires?
Your staff card will not renew automatically when it expires, so you will need to keep an eye on the expiry date of the card. When you card expires your access to buildings will also expire.
To renew the card, you need to come to the main reception in Northcote House or email us at: universityreception@exeter.ac.uk. We will let you know when your card is ready to collect.
How do I change my title or name on my card?
If you are a staff member and wish to change details on your card such as your title or name you will need to do this yourself on TRENT. If it is a name change (eg. due to marriage) you will also need to inform HR.
Once you have changed the details if you email us at universityreception@exeter.ac.uk we can then print you a new card.
If you are an Associate we can make the change for you or you can ask your line manager to update the system. Once updated let us know by email and we can print you a new card.
Can I have more than one staff card if I have two roles in the university?
It is only possible to have one Staff or Associate card.
If you have two roles you will have one card with an IT account affiliated to that card. A Staff card will always override an Associate card.
If you work at Exeter campus and at Penryn you can obtain from us a ‘Tremough blank’ card that will give you access to both sites. Please contact us at: universityreception@exeter.ac.uk or visit us at the Main Reception in Northcote House.
Where can I get a card holder and lanyard?
Your department may have a supply. Alternatively the Northcote House Print services and the shops on campus sell Exeter University lanyards.
How do I add access for my building or a particular room to my card?
If you are requiring access to areas in Geoffrey Pope, LSI, Hatherley, Innovation Centre or Washington Singer please see the reception staff in that building.
For other access areas email us at universityreception@exeter.ac.uk and we will pass your request to the relevant person or add the access ourselves. We will need your staff number and the name of the area you need access to.
What do I do with my card when I leave the university?
Staff/ Associate cards remain the property of the University so therefore need to be returned to the Main Reception in Northcote House when you leave University employment.
What do I do if my card is lost/stolen or damaged?
If your card is Lost/stolen, please visit Main Reception in Northcote House where a new card will be printed. Lost cards will incur a charge of £10. Stolen cards will be replaced free of charge providing you are able to provide a crime reference number reporting the theft. Damaged cards will be replaced free of charge, please ensure you bring the damaged card with you.
Can I use my staff card to gain access to the Library?
Yes, your staff card will provide access to the Library. Users must comply with library regulations.
