Arrivals and Freshers 2020/21
For your safety and wellbeing the information about the Arrivals and Welcome period is subject to change to reflect the latest Government guidelines.
We are currently working through our plans for arrivals for the start for the academic term and will be updating our information as these are developed. However, so that we can ensure that all students arrive in a safe and socially distanced way we will be asking you to help us during your arrival in the following ways:
Preparing to arrive
For postgraduate students, you will be able to book an arrival slot via Room Service; bookings go live on 25 August 2020. The contract start date will be 12 September, so that you can arrive prior to the start of your academic course start date. If you arrive between 12 September and 10 October, we will offer a refund and not charge you until you arrive at your accommodation. If you decide to arrive on or after 11 October, a maximum of 4 weeks rent will be offered.
For undergraduate students arriving between 7 and 13 September, you will be able to book a two hour arrival slot; bookings go live on 25 August 2020.
Only you and two other members of your household can assist in moving belongings into your bedroom/flat. Anyone else travelling with you will not be permitted into the building and we would ask that you do not brings pets with you (with the exception of assistance animals).
If you plan to bring a vehicle to unload, you need to arrive, unload your belongings and remove the vehicle from the residence parking area within your timeslot. Once you have unloaded your belongings, you will not be able to return with a vehicle to unload within the residence area at any other time during the arrivals period (7 September to 13 September). This will allow others to arrive safely in a socially distanced manner before the start of the academic year.
Traffic marshalls will be available on the campus and around our residences to co-ordinate traffic.
Please look out for signs giving specific guidance on the day. You will be directed to a key collection point where Accommodation staff will register your arrival and provide instructions on how to proceed to your room. The keys must be collected by the resident and only they will be allowed into the key collection area.
Social Distancing & Safety Measures
- You will see visible modification and signage around Receptions and the buildings. You must observe and adhere to all measures in place. The current social distancing rule is applied at all times whilst on site.
- There will be hand-wash/sanitising stations in key points around the Receptions and residences.
- Please use toilet/washroom facilities within your own room/flat.

In order to manage the risks in relation to the ongoing COVID-19 situation we will be staggering arrivals across the period 7 – 13 September 2020. The booking system will be available from 25 August and you will receive an email when you are able to access the system. Until you receive this email you will not be able to book an arrival slot.
Due to the number of timed arrival slots available, accommodation blocks may have a limited number of residents until the end of the arrivals period. Some students may choose not to arrive until teaching begins therefore rooms may remain unoccupied until the start of the academic year.
In postgraduate accommodation, we expect that arrivals will happen over a period of time before the academic course start date on 11 October, and you may find that not all rooms are occupied when you move into the accommodation.
We encourage students who will be staying within University of Exeter residences to not arrive on campus any earlier than needed. However, we do understand that arriving early may be necessary. Please contact firstname.lastname@example.org if this is the case.
For undergraduate students, in order to maintain social distancing and avoid congestion and overcrowding at the residences, you will be able to book an arrival slot via Room Service and you will be advised by email when the system will be available to use.
Please do not attempt to arrive to your residence outside of your allotted date and time unless you have made prior arrangements with us due to exceptional circumstances.
For postgraduate students, we would ask that you book an arrival slot with us in advance so that we can prepare for your arrival and ensure you can access your room.
You will still need to book an arrival time even if you do not plan to arrive over the Arrivals period. You will receive an email when you are able to access this system. Or you can contact email@example.com to plan your arrival.
If you anticipate your arrival day to fall later than the start of the academic year, we strongly recommend you contact your College to discuss your reason for arriving late and any possible impact on your studies. If you are an International Student, you are also advised to contact the International Student Support Office to enquire about any possible VISA constraints if arriving late.
