Courses

Your course records

The large majority of our training courses are organised using iTrent, the University’s HR and payroll system. This includes both face-to-face and online courses. The guidance below relates to courses organised through the Trent platform. 

Some courses, primarily mandatory training, are hosted on our e-learning system LearnUpon. See our mandatory training pages for more information. We also use the resource centre LearnSmart, which hosts many self-study courses. You will find a curated list of helpful LearnSmart resources here (under ‘Individual and Team Self-Learning Resources’). 

The full course list is hosted on our A-Z booking pages. You can search by scrolling through the full catalogue, or use the filter bar to narrow your search. 

You can also search courses by category by looking at our Personal and Professional Development page. 

Please note: If you are interested in a course, please make sure to read the entire description: although most of our courses are open to all staff, some may have restrictions on who can attend orpre-course resources to look at. 

Also, please make sure that you have any permissions needed to attend training, e.g., from your line manager.

Please note that if you are off campus, you need to connect to VPN to book onto training, as it uses Trent self-service, which is only available using VPN. For more information on VPN access, see here. 

You can book a course by selecting the course on our A-Z course booking pages, scrolling to the bottom of the description and clicking 'Book your place or add your name to the waiting list'.

This will take you to the online booking system in Trent. 

You can also use Trent self-service to search for and book onto training directly. See the ‘Book Learning Events’ section of this Trent self-service guide 

Once you have booked a course, you will receive an automated email from HR Systems confirming your booking. The email has a calendar invite attached, which will block out the time in your Outlook calendar. 

We then send out joining instructions in a calendar invite closer to the time (typically, the week before). These joining instructions will contain the time and date of the course. If the course is face-to-face, it will also contain the room details. If the course is online, it will contain a link (usually aTeams link, but sometimes trainers may use Zoom). 

If there are no scheduled dates for a course, or none that you can attend, then you can add yourself to the waiting list. This means that when a new date is scheduled for the course, you will be notified by email with a link to book yourself on. See the Trent self-service guide (‘Book Learning Events’) for guidance on adding yourself to the waiting list.  

If you need to cancel your attendance on a course, you do so via your Personal Learning Account on  iTrent Self Service. See the Trent self-service guide ('How to cancel a course') for more detail. Please note ourcancellation policy. 

You may want a record of all your training for discussions with your manager, e.g., when you are preparing for a probation review or Performance and Development Review (PDR) meeting.  

When you attend one of our courses, it will be automatically recorded in your Personal Learning Account. This can be accessed via iTrent Self ServiceYou can also add other courses you’ve attended (e.g., external courses or programmes) on Trent self-service under ‘My Activities’. See the Trent self-service guide for more details on how to do this. 

(Please ignore any cost of training listed in your Personal Learning Account, there will be no charge to your department.) 

Information for managers and supervisors

You can view the training records of your direct reports, and anyone who reports to them, using the ‘My Team’ report in the MI Hub (Management Information Hub).  

Please note that you will need to be connected to the VPN to access MI Hub reports if you are off campus. For more information on VPN access, see here.
