Ceremony Timetable

The ceremony timetable will be made available on our website here, and students eligible for graduation will be emailed when the schedule is available. 

Changing your Ceremony

It is not possible to graduate in a ceremony in which your programme is not represented, and as such requests to graduate on a different day or at a different time cannot usually be accommodated. 

If you are studying for a combined subject degree and wish to graduate with your other subject please contact sid@exeter.ac.uk, where requests will be considered on a case-by-case basis.

Transferring to a future Graduation session

Due to the large numbers of students eligible for each graduation session, it is not normally possible to accommodate requests to attend graduation at a different time of year. If you have specific circumstances preventing you from attending your ceremony and would like to request a transfer to a future ceremony, please contact sid@exeter.ac.uk. Requests are considered on a case-by-case basis.

To ensure you are able to attend your graduation ceremony without any problems, please make sure you adhere to the deadlines below:

Graduation Registration

In order to attend your ceremony, you must register online through the Student Record System by the deadline given in your invitation email. 

Registration for Summer Graduation 2020 will open on 23 March 2020. You will receive an invitation email on this date giving details of your ceremony and asking you to complete registration.

Graduation registration will close on 10 May 2020. If you do not register by this date, you will not be able to attend the ceremony.

Request Complimentary Tickets

During registration, you will be able to request up to 2 complimentary tickets. If any additional tickets are available after graduation registration closes, they will be sold through the Online Store in June 2020. Further information can be found in Section 8 below.

Your Name

During registration, you will be asked to confirm that your name is correct. We recommend that the name that appears on your certificate matches the name on your official identification, such as your passport, driving licence, and birth certificate.

If you need to amend the name on your student record, you will need to bring your official identification to SID in the Forum (Streatham Campus), the Info Point in South Cloisters (St Luke's Campus), or the Penryn Info Point in Peter Lanyon Building (Penryn Campus) by 12 June 2020. Please also bring your student card with you. An advisor will take a copy of your identity documents and amend the name on your record immediately.

If you are unable to visit in person, you can email a CERTIFIED copy of your identity documents to sid@exeter.ac.uk by 12 June 2020. For details of how to certify a copy, please see our guide here: ‌How to certify a copy

PLEASE NOTE: We are only able to amend the name on your record before you are officially awarded your degree by the University. You will not be able to amend your name after your award is confirmed, even if it is before the deadline above.

Your Name Pronunciation

During registration, you will be asked to provide pronunciation guidance for the presenter who will read your name during the ceremony. If you do not provide pronunciation notes, we cannot guarantee that the presenter will know how to read your name. All pronunciation notes are passed to our presenters who will try to pronounce your name correctly.

Academic Eligibility

Undergraduate Students: You must have been confirmed as eligible to receive a degree by the University Assessment, Progression and Award Committee in order to be eligible to attend the ceremony. This usually means you must have passed enough credits to be eligible for an Ordinary degree, and having referred or deferred assessments DOES NOT mean you are ineligible for the ceremony. Please check with your College Hub once your results have been released if you are unsure if you are eligible to attend the ceremony.

Postgraduate Taught Students: All those with a PGCert, PGDip, or Master's-level qualification are eligible to attend a graduation ceremony. You must have been confirmed to be awarded your degree by the University Assessment, Progression and Award Committee in order to be eligible to attend the ceremony. If you are unsure if you are eligible to attend the ceremony, please contact your College Hub.

Postgraduate Research Students: You must have submitted your thesis, received your completed examiners' report, completed any necessary corrections and uploaded a final copy of your thesis to ORE by 10 June 2020. If you have not fully completed your degree by this date, you will be invited to attend the Winter 2020 Ceremony.

Financial Eligibility

Outstanding Debts: If you have an academic-related debt to the University you will be prevented from graduating. All outstanding balances must be cleared by 12 June 2020. You can make a payment online through the epay system. Alternatively, contact SID on 0300 555 0444 (UK callers) or +44 (0)1392 724724 (International callers).

Award Documentation

Your award documentation (your official transcript and certificate) can only be issued after the official date of your award, which is after you have received your results. Before this date you can obtain an interim transcript from SID or via the 'Your results' page in the Student Record System, accessible through iExeter

If your award is conferred well in advance of the ceremony, your award documents will be posted to your home address in advance of the ceremony and you will be emailed to notify you of this. Receiving your award documents prior to graduation does not affect your eligibility to attend the ceremony.

Other award documents (subject to successful completion) will be issued at the graduation ceremony.

Receiving your Award documents early

If you are attending your graduation, but require your award documents before the ceremony, please contact SID to enquire if this is possible. Please note that we are unable to issue any award documents before you have been officially awarded your degree, which may not be until very close to the ceremony.

Additional Copies of your Transcript and Certificate

Additional copies of your transcript and certificate can be purchased once you have been awarded via the Online Store. Please note that any extra documents ordered will be sent via separate mail and will not be included with those issued at your ceremony.

How to Order your Robes

In order to graduate, you must wear full academic dress to the ceremony (gown, hood and cap). You can hire or buy your academic robes from Graduation Attire online at: www.exetergraduation.co.uk. The online ordering system will be open from 23 March 2020. 

To order your robes, you will need the following details:

  • Your name and student number
  • Your height (from head to floor)
  • Your head circumference (measure 1 inch above your eyebrows)
  • Your payment card details

If your details are not recognised by the Graduation Attire site, please contact SID.

Please note: We have been notified of at least one company falsely claiming to offer a gowning service for the University of Exeter's graduation ceremonies. Please be aware that Graduation Attire is our sole supplier of academic dress for these events. Graduands are unable to purchase or hire gowns from other suppliers. Those not in correct academic dress will not be permitted to cross the stage.

 

Additional Tickets

Graduands can request up to 2 complimentary tickets as part of their graduation registration online. If capacity of the venue allows, extra guest tickets can be purchased through the Online Store at a charge of £15 each in June 2020. To avoid overloading the Online Store site, tickets will be released at staggered times, which will be published here in due course.

Tickets will be available online until 28 June 2020 or when tickets are sold out (whichever comes first). If there are additional tickets available after this time, they will be available to purchase from SID. Please call 0300 555 0444 (for UK callers) or +44 1392 724724 (for international callers).

Please be advised that tickets are non-transferrable. Purchased tickets that are no longer required can be refunded until 28 June 2020. Please contact the SID desk to advise of unwanted tickets.

Guests without tickets 

If there are any available tickets on the day for ceremonies, they will be sold at the SID desk in the Forum (Exeter cermonies) or at the Ticket Desk in the Exchange Building (Cornwall ceremonies). Additional tickets are £15 each.

Guests who cannot purchase or do not have tickets for the ceremony can watch the event live via web streaming in the Forum Alumni Auditorium (Exeter) or the Stannary (Cornwall). You do not need a ticket to watch the ceremony via the live web stream.

Dogs

Please be advised that dogs (except for registered assistance dogs) are not permitted inside the ceremony venues or in campus buildings. We therefore strongly recommend that dogs are not brought to campus during graduation.

Accommodation

Exeter On-Campus Accommodation

The University has a range of en-suite rooms for guests on campus during the Graduation period, available with or without breakfast. As well as being the ideal location to attend graduation ceremonies, our rooms are surrounded by 300 acres of stunning botanical gardens, within walking distance of Exeter city centre and in easy reach of the beautiful Devon countryside and coastline.

Accommodation on the Penryn Campus is available at Glasney Rooms and is bookable through Cornwall Plus. Please see their website or call 01326 370421 for more information.

Cornwall Off-Campus Accommodation

There are a number of hotels and B&Bs available in Truro and Falmouth. For more information, please see the Visit Truro and Visit Falmouth websites.

Student Visa Information

If you have a valid Tier 4 visa, you can re-enter the UK as long as you carry a copy of your Graduation Letter in your hand luggage to show the immigration officer if asked. It is also advisable to carry a copy of your onward flight tickets to show that you will be leaving the UK before your visa expires.

To obtain a Graduation Letter, please contact SID by emailing sid@exeter.ac.uk or visit the desk in person.

If your Tier 4 visa is no longer valid, you will need to apply for a Visitor Visa instead. Please see the International Student Support pages for further information.

Visas for Friends and Family

If you would like your friends or family to attend your graduation or just to visit you in the UK, they may need to apply for Visitor visas. You will need to send them documentation confirming your current study and immigration status and there are a number of documents that they will need to prepare. You can print your graduation invite letter by logging into your student record and choosing the option of 'self service letters' or you can request a letter from us at the SID desk.

If you or any of your guests have any accessibility requirements such as special seating arrangements at the ceremony or a disabled parking space, please provide details when completing the online registration task outlined in your invitation email. 

If you did not request a disabled parking space as part of your registration, please email sid@exeter.ac.uk to request one. 

Access to the Stage (Exeter)

Access to the Great Hall stage is usually via a flight of 9 steps at the front of the Great Hall. For those with mobility needs, we can provide a number of alternative options, including ramp access from the back of the stage if you wish. Once registration has closed, a member of the SID Team will be in touch with all students who specify accessibility needs during registration to discuss your preferences and make arrangements for you.

Access to the Stage (Cornwall)

Access to the stage in Truro Cathedral is usually via a small step at the front of the Cathedral. For those with mobility needs, the Chancellor can come to meet you at the front of the hall if you wish. Once registration has closed, a member of the Graduation Team will be in touch with all students who specify accessibility needs during registration to discuss your preferences and make arrangements for you.

Merchandise

We have teamed up with the brilliant Campus Clothing to offer you the chance to celebrate your graduation with an official University of Exeter "Class of 2020" hoodie or t-shirt. All garments are fairtrade, and already have your name and those of your fellow course mates printed on the back. You can even add bespoke personalisation to make your memento that extra bit special.

The friendly Campus Clothing staff will have a stall at your ceremony, but you can skip the queues and avoid disappointment by pre-ordering at https://uk.campusclothing.com/. Ordering in advance also means that you can guarantee your chosen size and colour as these can often sell out on the day.

Please note that your name will only appear on the clothing if you have indicated that you would like your name to be included on graduation memorabilia (you will be asked this during the graduation registration process). If you have any queries about this please contact SID.

Your Address

When you register your non-attendance, you will be asked to confirm your home address. It is very important that your address is up to date so that your award documentation can be sent to you. If you need to amend your address after registration, you can do this via the Student Record System. You must ensure your address is correct in SRS by 19 June 2020 to ensure delivery. If you are having trouble accessing SRS, please contact SID by emailing sid@exeter.ac.uk.

Please note that your award documents will be sent to your home address, not your term-time address. Please ensure this address is up to date. 

Award Documentation

If you are not attending your ceremony, you will be asked during registration to confirm how you would like to receive your award documents (Certificate and Transcript).

Please Note: If your award is conferred well in advance of the ceremony, your award documents will be posted to your home address in advance of the ceremony and you will be emailed to notify you of this.

Collection

If you choose to collect your documents, they will be available to collect from SID in the Forum (Streatham Campus) from 6 July 2020. You will be emailed when your documents are available to collect. If you would like someone to collect your documents on your behalf, please provide their details during online graduation registration, or alternatively contact SID.

Post

If you choose to have your documents posted, they will be sent to your HOME ADDRESS as per your Student Record System in the week commencing 6 July 2020 and you will be emailed to notify you of their dispatch. You must ensure your home address is correct in the Student Record System before 19 June 2020 to ensure delivery.

DHL

By default, documents are sent via standard royal mail postal service - this does not offer tracking information. If your documents are to be posted to an address outside the UK we strongly advise that you order DHL courier delivery at an additional cost to ensure safe receipt of your documents. All DHL orders must be placed before 19 June 2020. Orders received after this date will be refunded and documents will be sent by standard non tracked mail. Please note: When placing your order, the price will show as £10 until you enter your delivery address, at which point the price will be adjusted.

In Absentia Robe Booking

The University's robing supplier, Graduation Attire, has introduced an exciting new system to allow students who are not attending their graduation ceremony to celebrate in style at home. They would like to offer all students graduating in absentia the opportunity to purchase their graduation gowns, a service previously only offered to those attending the ceremony.

The in absentia robe ordering system will be available via the following link from 23 March 2020https://inabsentia.exetergraduation.co.uk/
