Timetable Process Schedule For 2022/23

The Stages in the Process:

Colleges submit requests for new module codes to Student Records team

------

Academics to be available to discuss module selection

  • 14 March - Online module selection system opens at 09:00 for current 1st and 2nd years ✓
  • 25 March - The online module selection system closes at 17:00 for current 1st and 2nd years ✓
  • 4 April - Timetable data entry for current 1st and 2ndyears using real student numbers on modules ✓
  • TBC - Admissions provide colleges with first 'official' forecast for undergraduate recruitment. Data to inform module/programme numbers. ✓
  • 4 May - Timetabling data finalised, student enrolments imported into Scientia ✓
  • 5 May - Scheduling commences ✓
  • 10 June - Timetable team capture prospective 1st year and PGT modules (using planned student numbers) ✓
  • 24 June - OMS data finalised ✓
  • Early July - Confirmation of choices to students ✓
  • w/c 1 August - Draft timetable for term 1 released for checking by Colleges ✓
  • TBC - Web Room Bookings (WRB) opens for all weeks up until the commencement of term 1 ✓
  • 8 August - Academic staff able to access personal term 1 timetables ✓
  • 19 August - Amendments on term 1 timetable returned to the Timetabling team ✓
  • Late Aug - Confirmation of 1st year and PGT actual sizes and adjustments made 
  • 12 Sept - Fresher’s college induction timetable released to incoming students (see later dates for teaching activity release dates) 
  • 12 Sept - Release of working timetables (Term 1 Only) for returning students
  • 19 Sept - Release of working term 1 timetables for undergraduates and PGT (where September start applies) 
  • TBC - Ad hoc room bookings (WRB) system is opened for all remaining available space (teaching and other) 
  • 26 Sept - Term 1 commences 
  • TBC - October Teaching requirements for Term 2 established by Colleges 
  • 14 Nov - Draft timetable for term 2 released for checking by Colleges 
  • 21 Nov - Amendments on term 2 timetable returned to the Timetabling team 
  • 28 Nov- Release of working timetables for all (Term 2) 
  • 27 Feb - 2022 Release of term 3 timetable to staff 
  • 13 Mar - 2022 Release of term 3 teaching timetables to students
