The Mail Room supports both Exeter campuses and links with Penryn campus. The team support the majority of incoming and out-bound mail and parcels of the university and support staff and students with the mail, parcels and logistics requirements linking in with key external service providers.
During the pandemic, the Mail Room, like all other service providers adapted and developed new processes to meet the changing demands placed upon it.
Pre-COVID mail room protocol was to deliver mail to building post locations on a daily basis. To avoid mail being sent to offices with no or little staff and to prevent mail being unsecured and breaching GDPR, mail campus deliveries were suspended and only re-instated with the agreement of Re-Start Coordinators in certain buildings who were happy to accept and manage onward delivery to those not back in the work place. Also staff were contacted directly or through Administration Teams in relation to mail deliveries and how best they wanted to be told about the mail they had and how they wanted it.
With more colleagues now returning to campus, standard mail deliveries and collections will now resume. There is likely to be a back-log of mail that has not been collected or re-claimed over the last 18 months, so please check your pigeon holes or collection areas within your building. Any bespoke arrangements will now cease.
To support more efficient mail delivery, we have also secured a new supplier / partner and over the next couple of months, processes and systems will be improved and alternative options including secure locker solutions and ‘post boxes’ for out-going mail will be explored.
In addition, the Mail Room is working with the Climate Emergency Team and Green Awards initiative to reduce the vast amount of hard copy magazines received over the course of the last 16 months. We are hoping to change behaviours and request that colleagues:
- Where possible, amend your subscriptions to your home address.
- Consider the following options: Opt to receive digital information rather than paper based, e-billing
- Un-subscribe from current brochures/magazines that get posted & go unread
- Sign up to the free Mail Preference Service to stop unsolicited mail

Scanned / signed-for item collection is available from the Central Mail Room, Old Library - Please book a time slot using the C&C link https://spa.exeter.ac.uk/chronos/cc/ (click the green button) alternatively book a delivery through a Move It’ request but you must be available to sign for your item or nominate someone who can.
Mail will be delivered to St Luke’s at 12:00 each day to collect any outbound mail and drop off any requested mail.
Penryn/Truro Intercampus Courier
This service is available (Tuesdays & Thursdays during term, Wednesdays only out of term). Items need to be with the Mail Roon the day before to ensure they are collected. For all items that are not standard mail or small parcels, please complete a ‘move it’ request form.

If you are still working from home, and live within 10 miles, we would ask that you book via C&C and come to site. If this is not practical, please use the ‘move it’ request form. We will deliver to and collect directly from your home.

Please email email@example.com providing your home address. Items will be sent to you either by Royal Mail or ParcelForce. We can also provide remote collection from your home address back to campus, or onwards for standard mail/parcel items. Please contact us for more details.
Refer to points 1-4, however we will be visiting the Facilities Assistants (Porters) lodge, at 12:00 each day to collect any outbound mail and drop off any requested mail.

Location: Penryn Campus – internal post can be left at either the Penryn Mail Room (DDM) or at the Student information desk in Peter Lanyon Building. Penryn colleagues who are sending large/ heavy/valuable packages to Exeter (not LSI/GP stores) should complete a Porter request form above so that the Exeter Mail Room team can ensure that the package reaches the correct building once it is received in the Exeter Mail Room.
Location: Exeter Mail Room (Old Library) – items other than normal sized internal post should be booked via the porter request form linked above. This should be completed no matter whether you are delivering the item to the Exeter Mail Room or you require it to be collected from your building – please give as much notice as you can.
Location: LSI/GP Stores – you are welcome to drop packages to this location for transportation to Penryn. No need to pre-book – please have packages to stores by 11:30am. Please ensure wet/dry ice parcels are appropriately/safely packaged. Penryn staff can also send packages here as an agreed drop-off point (label packages appropriately so it’s clear that they are for LSI/GP Stores) Penryn staff should have packages to the Penryn Mail Room for 9:30am. The stores team will contact Streatham colleagues to notify them that a package has arrived.

The Mail Room is open Monday to Friday 08:30-16:30 (excluding public holidays and University closure days) with outgoing mail being processed daily Monday to Friday, with Royal Mail and Parcelforce.
Royal Mail's last collection from the Old Library is now 15:45 each day (Monday to Friday). To that end the last outbound mail collection will be 15:15 from buildings or direct to the Old Library.
