WARPit reuse
Our Strategy 2016-2022 includes a commitment to “make the most of our resources”. The WARPit online reuse platform makes it easy for staff to get, give and loan surplus assets across the organisation. By using WARPit we can:
- Reduce unnecessary procurement
- Reduce waste
- Save purchasing and waste disposal costs
- Support building clearances
- Reduce supply chain waste and carbon emissions
- Improve collaboration between staff

What is WARPit?WARPit is the University of Exeter's internal reuse platform that makes it easy for staff to get, give and loan surplus assets across the organisation. |
What are the benefits of WARPit?WARPit means there will be an improvement in the sustainability of our waste management. By prioritising reuse - in line with the waste hierarchy - there will be a reduction in waste as less assets will be sent to landfill / recycling. There will also be cost savings within departments as disposal costs and unnecessary procurement spend will be reduced. WARPit also tracks all sale and donations through the system, giving us full traceability and a range of financial and environmental data to help us understand how it is improving our environmental impact. |
Can I create a sub group for my team within WARPit?WARPit does not allow for subgroups to be created. If you want to reuse with specific individuals then please circulate information about your item upload with them. |
Can students use WARPit?No, WARPit is strictly for staff use. |
How do you calculate the financial savings of items transferred?Each item is given a waste disposal financial value and an average replacement value using public sector contract prices. These figures are updated annually and inform the financial savings tracked by the university. |
How do you work out the carbon emissions savings of items transferred?Every item reused saves on carbon emissions because a new item does not have to be purchased. WARPit has sophisticated and established references and methods that give each item a carbon dioxide equivalent (CO2e) value (kg). |
Can I send surplus assets to third party partners?Currently we are not sending assets through WARPit to partners, but watch this space. As we roll out to more members of staff there will be an opportunity to donate externally. |
I can’t see any emails from WARPit, how do I fix this?Make sure you have checked your junk folder as sometimes WARPit emails may be redirected there. If this is not the case please email the WARPit administrator and we will investigate the issue. |
Claiming items |

Who can claim items?Any University of Exeter staff member who is registered for WARPit may claim an item, so long as it is for University related activities. |
How can I make sure the asset I want to claim is on my campus?You can filter by campus at the top of the search screen, that way you are only browsing assets that are on your local campus. |
How can I see the name of the individual who uploaded an item?You are unable to see the name of the uploader through the WARPit system. If knowing the identity of the uploader is paramount to the claim you may request this information by clicking 'Ask a question about this item'. |
Who has to arrange the transport of an item between disposer and recipient?The uploader and claimant are responsible for arranging the collection of the item(s) between them. Where items are larger and need to be transported, it is the responsibility of the claimant to submit a "Move It" request. Please ensure that the item reference number is included in the "Move it" request. |
What happens if I no longer want the item I claimed from WARPit?If you have claimed an item and no longer want it, it's your responsibility to re-advertise it to WARPit for reuse, or dispose of it. Make sure you check the item is exactly what you want before claiming it! |
What happens if the item I claimed from WARPit is unsuitable for reuse?It is your responsibility to make sure the item is appropriate for your use. However, if you feel you have been unfairly transferred an item then please contact WARPit@exeter.ac.uk to get case specific guidance. |
Can staff claim items on WARPit for personal use?No, all items claimed must be used for University related activities. |
Uploading items |

What items can be uploaded to WARPit?Almost anything that you no longer need and is reusable! Think furniture, electrical equipment, stationery, office supplies, lab equipment and most other items that are reusable. Please make sure the item is in good condition before uploading, the rule of thumb is that if you'd be happy to receive it, you should upload it. If you are thinking of uploading an antique asset or one that has historical value, please contact WARPit@exeter.ac.uk to check the suitability of upload. |
Can I upload IT assets to WARPit?IT assets should be dealt with on a case-by-case basis. Please check with your local CDO whether the item is appropriate for WARPit. Remember that as the uploader you are responsible for ensuring there is no existing data stored on the item. |
Can I advertise items from home on WARPit?No, all items advertised on WARPit should be university assets. |
How should I describe the item I am uploading effectively?Reference here to the MFC / Metal finishes guide. It is the responsibility of the contributing party to ensure that items are described correctly and the guidelines are followed. It is the requesting party’s responsibility to ensure that the item/equipment is safe and appropriate before using. All users must agree with the terms of registration before a transaction takes place. |
The item I have is in poor condition, can I still upload it to WARPit?You should not upload assets to WARPit that are not in good enough condition to be reused. The rule of thumb to follow is that if you'd be happy to receive it, you should upload it. If the item is not in good enough condition for reuse it should be disposed of instead. Please complete a "Dispose It" request when this is the case. |
What happens if I cannot keep the item in situ?If you cannot keep the items in situ and you consider the item to be high value and/or highly usable, please contact a.partridge@exeter.ac.uk to see if you are eligible to use some of the limited storage facilities we have at the university. If the assets you have are not eligible for storage space then they will need to be disposed of. Please complete a "Dispose It" request when this is the case. |
Who is responsible for uploading items to WARPit?Any university staff member can upload assets to WARPit, so long as you have your line managers approval! Uploading is easy using these guides . |
How can I ensure that the item I want to upload hasn't already been uploaded by someone else?You should always have your line managers approval before uploading assets to WARPit, so this should avoid dual uploading of assets. If you're unsure about a particular asset ask your team or scan WARPit to see if it is already online. |
How long should I advertise my item on WARPit for?Please advertise your items for at least one month. If it is easy for you to store the asset you may consider advertising it for longer. |
What do I do with my assets if I no one claims them and the expiration date has passed?Consider extending the expiration date on your item if you are able to continue storing it. If you cannot store your item for any longer but you consider the item to be high value and/or highly usable please contact a.partridge@exeter.ac.uk to see if you are eligible to use some of the limited storage facilities we have at the university. If the assets you have are not eligible for storage space then they will need to be disposed of. Please complete a "Dispose It" request when this is the case. |
